Why Both PDF and DOC/TeX?

It might seem odd to require both PDF and DOC/TeX formats. This page explains why we make this request.

The PDF format is a highly portable representation that we use for the review process, and to guarantee that the author's intent is visualized correctly. However, although we provide templates, there are invariably minor differences from submission to submission, so to provide a more uniform presentation in the conference proceedings, we re-typeset from the original source using either the DOC or TeX files. To streamline the production process, we request both formats at the time of submission.

Re-typesetting the abstracts presents significant additional work and any major change that is required to bring an accepted abstract into the unified format (like correcting the font, putting the title into all caps, etc.) increases the chances of an error being introduced into the abstract. It is therefore in the author's best interests to adhere as close as possible to the templates provided. The fewer formatting changes we have to make on an abstract, the smaller the chance of an unintentional change creeping in to the text.

We do not accept DOCX files nor submissions created with Apple Computer's Pages software because of compatibility issues. We strongly encourage creation of submissions using freely available OpenOffice software instead.

We accept files in LaTeX format because it is a preferred format for a large number of researchers, including one of the AREADNE founders who is a hard-core TeX user. About 20% of submissions are in LaTeX, and the conference proceedings are typeset using TeX.

When finalizing an abstract before submission, please review the checklist provided with both templates to look for and correct common mistakes.
